Drive Time Is the Hour You Keep Giving Away

Nine minutes between stops sounds harmless until you multiply it. At ten stops a day that is an hour and a half of paid crew time producing nothing, every day, for six months. Cutting the average to five minutes by tightening a route to fewer neighborhoods buys back roughly forty minutes a day per crew, which is one extra property most days without adding a single labor hour.

This is why route density beats territory size in lawn care economics. A crew with fifty accounts in three subdivisions will outproduce a crew with fifty accounts spread across a county every single week of the season, on the same payroll. When you price a distant property, price the drive, or decline it and sell the hole in your existing neighborhood instead.

Leaving Room for the Weather You Know Is Coming

A route planned to one hundred percent of available hours is a route that fails the first wet week. Rain does not just remove a day, it makes the next cut slower, because tall wet grass takes longer, clogs decks and needs a second pass or a blow out of clumps. A schedule with no slack turns four rain days into a two week backlog and a run of unhappy customers.

The practical answer most working shops land on is to plan the route on four and a half or five mowing days and keep the balance of the week open for catch up, then treat Saturday as the release valve for genuinely bad weeks. Set the rain day input to what your own season actually looks like, not to what you hope it will be.

How many lawns a day should one crew be doing?

It depends entirely on property size and route density, which is why this calculator asks for your own numbers instead of quoting a benchmark. A two person crew on tight half acre suburban lots often lands around eight to twelve stops a day. The same crew on scattered acre properties may only manage five or six.

When does the math say it is time to add a crew?

When your committed weekly accounts exceed the capacity number here for more than a couple of weeks running, and the overflow is showing up as evening finishes rather than as occasional catch up. Add the crew before the route breaks, not after, because you need signed season agreements to justify the payroll.

Should I count a third person on the crew as more capacity?

Only partly. A third crew member on typical residential lots adds real speed on trimming and blowing but rarely a full third of the output, because there is only so much room around a house. Measure your own two person and three person days over a few weeks before you assume the capacity gain.
